Stop Emailing Everyone the Same Thing: Audience Segmentation Done Properly
By Konstantinos Karamatzianis · Co-Founder, Dabster Labs · Client engagement, anonymised at the client’s preference
The situation
A Cyprus training provider was sending every broadcast to its whole list. Every subscriber received every message, whether it was relevant to them or not. That caused two problems. Deliverability slipped, because recipients ignored or unsubscribed from mail that had nothing to do with their work, and the team had no way to reach part of the audience on its own. If a session was aimed at lawyers interested in anti-money-laundering, there was no way to send it only to them: it went to fund managers and everyone else too.
What we built
A three-axis segmentation of the audience by relationship, topic and profession. We classified 614 contacts into four professions: lawyers, accountants and auditors, finance, and corporate-services. The classification drew on three signals: membership of a professional register (the strongest signal), the company each person works for, and email-domain patterns. About seventeen firms that did not fit any pattern were researched by hand. 449 contacts were tagged in the CRM, then mirrored into the email platform as four profession tags plus fifteen topic tags. A campaign can now target, for example, lawyers interested in one specific topic rather than blasting the entire list.
What changed
- The team can send to a single profession-and-topic audience instead of the whole list.
- 449 contacts carry a profession tag, so audiences are chosen from data, not guessed.
- Irrelevant sends drop, which protects deliverability for the mail that does matter.
- The same tags live in both the CRM and the email platform, so a segment defined in one is available in the other.
- Every contact now sits on three independent axes, so combinations that were impossible before are one filter away.
How it works
Each contact is placed on three axes. Relationship records how the person knows the provider. Topic records the subjects they care about, held as fifteen tags. Profession records what they do, one of four categories, decided from register membership, employer and email domain, with the unclear cases checked by hand. Moving this into the email platform took roughly 1,800 tag operations with zero failures. Consent boundaries were respected throughout: topics were applied only to people who were already subscribed, and profession tags were extended to course participants who already had a relationship with the provider, with an unsubscribe option in every message.
Where it stands
Live. 449 contacts are tagged across four professions, the topic and profession tags are mirrored between the CRM and the email platform, and the team can now build a targeted audience in a couple of clicks. The classification covers the contacts with clear signals; a group of individuals on personal email addresses was deliberately left untagged rather than guessed.
Sending the same message to everyone is quietly expensive. If your list has grown past the point where one broadcast fits everyone, talk to us about segmenting it properly.
