One Link, and the Client Watches, Comments, and Approves the Video
By Konstantinos Karamatzianis · Co-Founder, Dabster Labs · Client engagement, anonymised at the client’s preference
A video ad agency now sends one link, and the client watches the finished cut, leaves comments, and clicks a single Approve or Request changes button. Sign-off that used to bounce around email inboxes now happens in one place, and the whole responsible team hears about it the moment the client acts.
The situation
The agency was emailing finished video files back and forth for sign-off. Its clients are often non-technical, older business owners, so the video and the buttons were hard to find, and a clean yes or no rarely came back. Attachments got lost, replies were vague, and the team was never sure whether a cut was truly approved or just acknowledged.
What we built
A branded client review portal reached through a single unguessable link. The client opens the link, watches the deliverable inline in a player, and responds without hunting for anything. Uploaded videos play in place and images render inline; other file types open in a new tab. There is no “show details” toggle to dig through: the work and the buttons are front and centre.
Under that simple surface, the portal does the careful work. The client leaves comments, then clicks one big Approve or Request changes button and adds a note. Every client action notifies the whole responsible team at once: the editors, the assignee, the reviewer, and the account owner. Each link carries strict scope isolation, so it only ever exposes that one client’s data. Published performance reports render as an on-screen dashboard with a clean two-page PDF export, charts side by side and the campaign table intact.
What changed
- Sign-off moved out of email attachments and into one link, so nothing gets lost in an inbox.
- Non-technical clients see the video and two clear buttons first, with no interface to learn.
- Approve or Request changes returns a clean, unambiguous decision with a note attached.
- Every approval, change request, and comment notifies the full team, so no action goes unseen.
- Performance reports are shareable in-portal with a tidy two-page PDF the client can keep.
How it works
From a client’s record, the team clicks Send to client, which emails a permanent, branded portal link to the primary contact. Each link supports two access modes. In the open mode the unguessable token is the credential, so the client sees the portal directly with no login. In the email-gated mode the client requests a 6-digit code by email, verifies it, and gets a session cookie. Revoked links return a uniform, non-leaking response, and reports are shown only once published, so drafts and other clients’ data stay out of reach.
Where it stands
The portal is live and handling client review and approval end to end, with team notifications closed off during QA so no client action slips through silently. The link, the two access modes, the inline player, and the report export are all in production use today.
