7 AI employees for business: what each one does and where your data goes
Dabster Labs · Last updated 3 October 2026
In 2026 every big technology company is shipping its own “AI employee”: software that does not just answer questions, it does work. It opens your email, writes to your customers, fills in forms, books appointments. In our video we graded seven of them, from S down to C, on one criterion: where your business data goes when you hand it over. This is the full list, in plain words, for business owners with no technical background.
First, what an “AI employee” is
A simple chatbot answers you. An AI employee, an “agent” in the jargon, takes an instruction and carries out the steps on its own: it reads your files, visits websites, sends messages, enters records into your CRM. To do that it needs access. And that is where the question that matters begins: your customers’ details, your prices, your contracts, where do they go and who can see them?
How we graded
Three questions for every tool, the same three you should ask before giving access to anything:
- Where is the data stored? On your own server, on the company’s servers in Europe, or on servers in the United States?
- Is it used for “training”? That is, does the company read your conversations to improve its product? On many free plans the answer is yes unless you switch it off yourself.
- Does it ask for approval before doing something important? An employee who emails a customer without asking you is a risk, however clever it is.
The grade does not say which tool is the smartest. It says which one you can put inside a business with customers, invoices and personal data without losing control.
The list at a glance
| Grade | Tool | What it does | Where the data goes |
|---|---|---|---|
| S | n8n AI Agent | Connects almost all your tools and builds complex workflows | Your own server, in Europe if you want |
| S | Hermes Agent | Runs tasks across your tools, even when you are away | Your own server |
| A | Claude Cowork | Works with your files and tools, asks for approval before important actions | Anthropic, USA. Training can be switched off in settings, off on business plans |
| B | ChatGPT Agent | Visits websites and completes a series of steps on its own | OpenAI, USA. On personal plans training is on unless you switch it off |
| B | Meta Business AI | Replies to customers and helps with bookings inside WhatsApp | Meta, USA. Limited in Europe |
| B | Gemini | Works inside Gmail, Drive and the rest of Google’s tools | Google. With paid Google Workspace, no training and a European data option |
| C | Grok | Has its own computer in the cloud and executes tasks | xAI, USA. Conversations are used for training unless you switch it off |
Grok, grade C
What it does. Grok is the AI of xAI, Elon Musk’s company, and it lives inside X, the former Twitter. Its agent has its own computer in the cloud and can execute tasks for you: search, write, run small programs.
The data. Your conversations are used to train xAI’s models unless you go into the settings and switch that off. The same applies to whatever you post on X. The servers are in the United States. Switching it off only covers the future, not what you have already written.
Where it helps. Personal research, ideas, rough drafts, things you would not mind anyone seeing.
Where it does not. Anything with customer names, invoices, contracts or internal documents. That is why we do not use it with client data. The low grade is not about its abilities, it is about “learn from me” being on by default.
ChatGPT Agent, grade B
What it does. You give it an instruction, for example “find me three suppliers and request quotes”, and it visits websites on its own, fills in forms, completes a series of steps and brings you the result.
The data. OpenAI is in the United States. On a personal account, free or Plus, conversations may be used for training unless you switch the relevant setting off. On the business plans, Business and Enterprise, training is off by default. Either way, conversations are kept for a period for abuse checks: “not trained on” does not mean “not stored”.
Where it helps. Market research, comparisons, preparing quotes, tasks on the internet that do not need your passwords.
Where it does not. When it has to log in with your own credentials to systems that hold customer data. It can, but then everything it sees passes through OpenAI. Useful, with care about what you give it.
Claude Cowork, grade A
What it does. Anthropic’s Cowork works on the files on your computer and on the tools you connect to it: it builds reports, tidies documents, prepares replies. The important part: before it does anything that cannot be undone, such as sending an email or deleting files, it stops and asks for your approval.
The data. Anthropic is in the United States. On a personal account there is a setting called “Improve Claude” that decides whether your conversations are used for training, and you can switch it off. On the business plans, Claude for Work and Enterprise, training is off. One small exception: conversations flagged for safety reasons may be reviewed regardless of the setting.
Where it helps. Everyday office work with real files: quotes, reports, organising folders, replies you approve before they go out. We use it.
Where it does not. Jobs that must run on their own, all day, with nobody in front of the screen. And it is sometimes slow. It is an assistant, not an automated production line.
Meta Business AI, grade B
What it does. It is Meta’s AI inside WhatsApp Business. It answers customer questions, gives product and opening-hours information, helps book an appointment, all inside the channel your customers already use.
The data. Everything passes through Meta, a US company. In Europe the rollout has been delayed and limited because of European rules on personal data and competition, so what you see in videos from America is not necessarily available here.
Where it helps. If your business already runs on WhatsApp, restaurants, salons, clinics, shops, it is very practical: customers get an answer at once and you get your time back.
Where it does not. If your customers are not on WhatsApp, or if you need it to connect to your own CRM and invoicing. There you want something you control.
Gemini, grade B
What it does. Google’s AI lives inside Gmail, Drive, Docs and Calendar. It summarises email, finds files, writes replies, organises meetings, without you leaving the tools you already use.
The data. It depends on the account. With paid Google Workspace, that is business Gmail, your data is not used for training and you can ask for it to be stored in Europe. With a free personal Gmail, different and looser terms apply.
Where it helps. It is worth more if your business already runs on Google Workspace. Then it is the easiest AI employee you will ever add, because you change nothing.
Where it does not. If you work in Microsoft or other systems, or if you need complex automations across many different programs.
n8n AI Agent, grade S
What it does. n8n is the tool that connects almost every program in your business to the others: phone, email, CRM, invoicing, calendar, WhatsApp. Its AI agent takes a message or a call and does the job from start to finish: records the customer, sends the quote, updates the calendar. It is the tool we build most of our automations on.
The data. This is the big difference. n8n runs on your own server. Our installations run on a server in Europe, not on another company’s computer in America. The data stays there. The only thing that leaves is the piece the AI model has to read, and you choose that model: it can be European, with zero retention.
Where it helps. Any business losing hours to repetitive work between systems: calls that must become appointments, orders that must become invoices, forms that must become customers in the CRM.
Where it does not. If you expect to set it up yourself in an afternoon. It needs someone who knows how to set it up properly, test it on your real data and maintain it. That is exactly our job.
Hermes Agent, grade S
What it does. An AI employee installed on your own server and connected to your tools: email, files, CRM, social media, calendar. You talk to it from your phone, even by voice, and it carries out tasks even when you are not there: prepares reports in the morning, checks missed calls, schedules posts.
The data. Same as n8n: everything stays on your own server, and you choose the AI model that reads the text. You decide who has access and what it may do without approval.
Where it helps. Owners who want a personal assistant with full access to their business without handing that access to a third company.
Where it does not. For someone who wants to download an app and start in five minutes. It is aimed at people with technical knowledge, or at businesses that have someone like us set it up and look after it.
What this means for a small business in Cyprus or Greece
Three rules that come out of the list and apply to any tool, including the ones that will launch next year:
- Customer data never goes into a free personal account. Free plans are paid for with your conversations. Put customer names, phone numbers or invoices in one and you already have a GDPR problem.
- Switch “training” off everywhere, today. Grok, ChatGPT and Claude all have the setting. It takes a minute. On business plans it is usually off already.
- Anything that works on its own must either ask for approval or run on your own server. That is why Cowork got an A while n8n and Hermes got an S: with the last two, the data never leaves.

Frequently asked questions
Is it illegal to put customer data into ChatGPT?
Not automatically, but you are responsible for where it goes. Put it in a personal account with training switched on and you will struggle to explain to the customer or the data protection authority where it is. With a business plan and training off, or with a tool on your own server, the picture is clear.
What does “your own server” mean? Do I have to buy a computer?
No. It is a computer rented in a data centre in Europe, used only by your business, and managed by someone like us. You only see the result. The difference from the big companies’ cloud is that the data is shared with nobody and used for nothing else.
Which of the seven should I start with?
For personal office work, Claude Cowork, or Gemini if you are already on Google. For work that must run on its own with customer data, n8n, set up by someone who knows it. Keep Grok and ChatGPT Agent for research and ideas.
Do these facts change?
Constantly. Data policies change every few months and Europe keeps adding rules. This article was written in October 2026 and we will keep it updated. The three questions stay the same though, and those are the ones to ask about any new tool you are shown.
