One daily email that shows each operator’s real workday

A manager can now open one email each day and see, person by person, exactly how that person’s day went inside the CRM: who they called, which tickets they moved, when they logged in, and where the quiet gaps were. No asking around, no reading raw records by hand.
The situation
A Cyprus training provider runs its sales and operations inside a self-hosted CRM. Managers wanted a straightforward answer to a simple question: how did each team member’s day go? The information existed, but it was scattered. Call attempts and callbacks lived in one part of the database, ticket work in another, and logins plus page-by-page activity sat in the web server logs. Reconstructing one person’s day meant either asking them or digging through raw records. That does not scale, and it leaves managers guessing.
What we built
An automated daily report, one per team member, delivered to the inbox on a schedule. Each report gathers everything that person did in the CRM that day and lays it out in a single branded email:
- Logins and session activity
- Every record they created or changed
- Their page-by-page clickstream through the system
- Call attempts, shown one row per attempt with the call duration
- Tickets they handled, grouped by ticket with the actions taken on each
- A workday timeline and the idle gaps between activity
Header tiles at the top summarise the day so it reads in seconds. The idle tile turns orange once inactivity passes two hours, so a long quiet stretch shows itself without anyone reading the detail. A separate management edition of the report adds a section listing open tickets that still need follow-up, ordered oldest-stale first, with a colour ramp that deepens as a ticket ages. That gives a manager both the day’s activity and the backlog that is drifting, in the same email.
What changed
- Managers get a clear, person-by-person picture of the day without asking anyone or opening the CRM.
- Call effort is finally visible at the level that matters: every attempt with its duration, not just a daily total.
- Ticket work is grouped by ticket, so it is obvious what each person moved and what they did on it.
- Idle time is surfaced honestly, with a two-hour threshold that flags itself in orange.
- The management edition turns ageing open tickets into a ranked follow-up list, so nothing quietly goes stale.
How it works
Each report is assembled from the CRM database and the web server access logs, then rendered in the company’s own brand colours and typography. Reports run on their own schedule per role: some people receive a report at the end of the workday, others twice a day, and the schedules follow local Cyprus time, including daylight-saving changes, automatically. Every edition is scoped to one person and their working window, so the timeline and the idle calculations reflect that role’s real hours.
Where it stands
The reports are live and running on their per-role schedules, with the operator editions and the management edition each going to the people who need them. Adding a new role is a small, repeatable step: clone an existing report, point it at another user and working window, and it starts arriving on schedule.
