How We Got a Business’s Data Out of a Portal It Was Stuck Logging Into, and Into Its CRM, Live
A business

The situation: the data the team needs lives in a portal they don’t own
A lot of businesses run on information that doesn’t live in their own systems. It sits in an external web portal, a platform they have an account on and depend on, but don’t control. The data is theirs, but to see it, someone has to leave whatever they’re working in, log into that portal, and read it by hand. Meanwhile the actual day-to-day work happens somewhere else entirely: in the company’s CRM. So the information people need to do their jobs is always one login away, and the system they actually work in is always a step behind.
The obvious approach: keep logging in, or hope for a clean export
There are two tempting non-solutions here. The first is to just keep doing it manually, someone opens the portal every so often, eyeballs the latest, and copies what matters across. It works, which is exactly why it never gets fixed: it’s slow, error-prone, and only ever as current as the last time someone remembered to check. The second is to assume the portal offers a tidy way to export or connect to. Plenty of portals, especially older or specialised ones, simply don’t. There’s no convenient feed, and the data stays trapped behind a screen built for a person to read one page at a time.
What changed: the portal’s data, live in the CRM
We built an integration that brings the portal’s data into the business’s own CRM and keeps it in step, automatically, using the company’s own authorised access, so staff see the real, current picture inside the system they already work in instead of opening the portal at all. Before switching on the live sync, we ran a one-time reconciliation so the two systems genuinely agreed, a clean baseline for the ongoing sync to maintain from then on.
With everything in one place, the business could finally do what it actually wanted: build its processes around the CRM. Faster responses, far less time lost to manual checking, and no more decisions made on out-of-date information.
The takeaway
When a business depends on data that lives in a system it doesn’t own, the hidden cost isn’t just the manual copying, it’s that the team is always working from a stale picture, one login behind. The fix isn’t more disciplined logging-in; it’s bringing that data into the system your people actually use and keeping it live. Do that, and the portal stops being a daily chore and becomes just another quiet source feeding the place where the real work happens.
