The board that stops cold prospects getting lost in inboxes

A Cyprus regulatory-training provider had a good habit: every week its system fed the team four fresh companies to approach, regulated firms they had never sold to. The problem was what happened next. The names arrived by email, and then they scattered. Nobody could see, in one place, what had become of each one.
The situation
Four new cold prospects landed in the team’s inbox each week. From there the trail went cold. There was no single place to see which companies had been contacted, by whom, which ones had not been reached yet, and what was actually said on the call. The list simply got lost among everything else in the inbox.
There was a second constraint. Because these firms had never been customers, they had to stay completely separate from the rest of the CRM automation. If another campaign or report touched them by accident, it would burn a first impression that only happens once. So the answer could not be “add them to the usual pipeline”. They needed their own isolated space.
What we built
A dedicated pipeline board, visible only to named admins, sitting over an isolated prospect pool that is walled off from every other CRM report and automation. Seven stages carry a company from “to approach” through contacted, follow-up, meeting, proposal, and finally won or lost. Each stage has a one-line description under its header, so anyone who opens the board knows exactly what it means.
Cards move by drag-and-drop. Because that does not work on a phone, every card also carries a dropdown that performs the same move, so the board is just as usable on a tablet in a corridor as on a desktop. Each time someone reaches out, they log it: the channel used, a structured result (connected, no answer, left a message, or declined), free-text notes of what was said, and a dated next step. A strip at the top lists everything due today, and access is restricted to named administrators.
What changed
- Every cold prospect now has one home. At a glance, anyone can see who has been contacted, by whom, and what happened.
- “Who have we not reached yet” is finally answerable. The structured result on each contact flags companies that were called but never actually connected.
- The prospect pool stays isolated. These never-sold-to firms are kept out of every other CRM report and campaign, so none of them gets double-touched.
- The board works on a phone. Drag-and-drop on the desktop, a dropdown on mobile, both do the same thing.
- A dated next step travels with every card, and a due-today strip turns the board into the operator’s daily to-do list.
How it works
Cards move with an optimistic update that reverts if the save fails, so the board stays honest even on a weak connection. Each contact is logged against its company with a channel, a result, notes, and a next action date, and the full history for any company is one click away as a timeline of every logged and automatic event. The due-today strip reads from those next action dates, so the day’s calls surface themselves rather than waiting to be remembered.
Where it stands
Live and in daily use by the admin team. It shipped after a four-persona review covering security, operator experience, code quality, and product, followed by three regression passes, with every confirmed bug fixed before release. The next planned addition is a weekly digest that pushes companies which have gone quiet back to the team, so a prospect can never sit untouched long enough to be forgotten.
