The Cold Email That Reads Like You Wrote It (Because an AI Read the File First)

The situation
Personalised outreach is the thing everyone agrees works and almost nobody does, because doing it properly means reading each prospect’s history and writing them a genuine email, and there are never enough hours. So most teams fall back on the blast: the same message to everyone, which the reader can smell in the first line and delete by the second. A training provider’s team wanted the quality of a hand-written email at the volume of a campaign.
What we built
A pipeline that writes a genuinely individual email for each prospect. It reads that contact’s actual history from the CRM, the courses they attended, what they were interested in, when the team last spoke to them, and drafts an email that references it honestly, in the team’s own voice. A person reviews and approves each one, then the pipeline sends it directly and files a copy in the Sent folder, so the whole thread lives where the team expects it, with the right documents attached.
What changed
- Every email starts from the file, not a template. The draft already knows who this person is, so the writer edits a real, specific message instead of staring at a blank page.
- The human stays in the loop. Nothing sends on its own. A person reads each draft, adjusts it, and approves it, so the AI does the reading and the first draft and the human keeps the judgement.
- It lands like a normal email. Sent from the real inbox, filed in Sent, attachments included, so a reply comes back into the same conversation rather than a marketing black hole.
- The blank page is gone. The slow part of good outreach, working out what to say to this specific person, is done before the writer even opens the draft.
How it works
The prospect’s record is pulled from the CRM, summarised, and handed to a language model along with the team’s tone and the offer; the draft comes back for human review; on approval it goes out over the business’s own mail server and is written back into the mailbox so it behaves exactly like an email a person sent. No third-party sending platform sits in the middle quietly deciding your deliverability.
Where it stands
In use for personalised outreach, one approved email at a time. The early runs were sent by hand as the team built trust in the drafts; the point was never volume for its own sake, it was making the good version of outreach fast enough to actually do.
