CRM Systems in Cyprus: Options, Real Costs, and When a Custom CRM Makes Sense (2026)
Dabster Labs · Last updated 27 August 2026
A Cyprus business has three realistic CRM routes: a cloud CRM such as HubSpot, Pipedrive or Zoho, an open source CRM such as Dolibarr or SuiteCRM hosted in the EU, or a custom CRM when the sales process is unusual. Four things decide it: where the data lives, which systems must connect, team size and budget.
We are not neutral: Dabster Labs runs Dolibarr, an open source CRM, on EU servers for its own sales and support, builds custom CRMs and CRM integrations for clients, and resells no licences. The starting point in Cyprus is low. Only 9.3% of Cypriot enterprises with 10 or more employees used AI in 2025, against an EU average of 20% (Dabster Labs, The State of SMB Automation in Cyprus and Greece 2026, compiled from Eurostat 2025).
What Cyprus businesses actually need from a CRM
The big vendors’ feature lists are written for the US market. Cyprus companies have a shorter list. Check any candidate against these five points.
- Greek and English in the same record. The CRM must store both alphabets without corruption and search across them, so that “Παπαδόπουλος” and “Papadopoulos” both find the customer.
- VAT and invoicing links. A Cyprus VAT number on the company record, the 19% standard rate applied correctly, and either a built in invoicing module or a clean connection to your accountant’s system.
- WhatsApp and phone logging. In Cyprus much of the customer conversation happens on WhatsApp and the phone. A CRM that only logs e-mail records a fraction of the relationship.
- GDPR export and deletion. A customer can ask for a copy of their data (Article 15), portability (Article 20) or erasure (Article 17). The CRM needs a button for each, not a developer and a week.
- EU hosting. Customer data should sit in the EU, with a data processing agreement that says so. Easy with open source or custom, a contract question with cloud vendors.
Cloud CRM, open source CRM or custom CRM: how the three routes compare
We have left out exact vendor prices on purpose: they change every year and depend on the plan.
| Route | Typical monthly cost model | Data location | Customisation | Who maintains it | Best for |
|---|---|---|---|---|---|
| Cloud CRM (HubSpot, Pipedrive, Zoho) | Subscription per user per month, in tiers. The features you need usually sit in the middle tier. Cost grows with every seat. | Vendor data centres. Most offer an EU region on some plans; confirm it in the contract, not the brochure. | Fields, pipelines and workflows within the vendor’s limits. Deeper changes need paid add ons or the API. | The vendor. Updates arrive whether you want them or not. | Sales teams of 2 to 20 with a standard pipeline. |
| Open source CRM, EU hosted (Dolibarr, SuiteCRM) | No licence. A server (tens of euros a month for an SME), setup, and someone to keep it updated. | Wherever you put it: an EU data centre of your choice or your own server. | Very high. Modules, fields and code are all open. Dolibarr also covers quotes, invoicing, stock and projects. | You, or a partner under a management agreement. Backups and updates are your responsibility. | Companies of 5 to 50 that want invoicing and CRM in one place and no per seat fee. |
| Custom CRM | One fixed price build, then a monthly management fee. No per seat cost. | Wherever you put it, usually an EU server we manage or your own. | Total. Built around your process, not the other way round. | The agency that built it, under a management agreement, with the code handed to you. | Unusual workflows, many integrations, or a licence bill that has become a budget line. |
When a custom CRM makes sense (and when it does not)
A custom CRM is the right answer less often than agencies admit. It makes sense in four situations.
- Your workflow is unusual. A property developer tracking units, deposits and lawyers does not fit a pipeline of “lead, qualified, won”. Bending a cloud CRM to fit costs more than building the right thing.
- You need many integrations. Phone, calendar, accounting, e-signature, WhatsApp, website forms. On a cloud CRM each is another add on and another place to break. In a custom build they are part of the design.
- Per seat pricing hurts. If everyone from reception to the accountant needs the customer record, a per user fee multiplies fast.
- You want to own the data and the code. When the contract ends, a cloud CRM gives you a CSV export. A custom CRM gives you the database and the repository.
And when it does not make sense:
- A team of two or three with a straightforward pipeline. Use a cloud CRM or a hosted Dolibarr and spend the money on adoption.
- You are not sure what your process is yet. A custom system freezes a process in code. Run six months on something standard first.
- Nobody inside the company will own it. Every CRM dies without an internal owner, and a custom one dies faster.
CRM integration: the part most projects skip
Most CRM projects stop the day the data is imported. Within three months the records are stale, because updating the CRM is extra work on top of the real work. The fix is CRM integration: the CRM should fill itself. The connections that matter, in order of impact:
- Calendar. A booking creates or updates the contact and logs the appointment.
- Phone. Every call appears on the contact with time and a note. With an AI receptionist on the line the note writes itself: the agent answers, books the appointment and logs the request and outcome into the CRM. On our own line, every call ends as a ticket in Dolibarr through an n8n workflow.
- E-mail. Messages to and from a contact attach to the record automatically.
- Invoicing. When the deal closes, the invoice draft appears in the accounting system with the right VAT details. When it is paid, the CRM knows.
- Website forms and WhatsApp. A submission or message becomes a lead with the source recorded.
Xenia Neofytou, Director of CX Financia in Cyprus, after we connected their systems: «Η ομάδα μου σταμάτησε να γράφει τα ίδια στοιχεία σε τρία συστήματα.» (My team stopped typing the same details into three systems.) Disclosure: CX Financia is a long standing partner of Dabster Labs as well as a client.
We build these connections in n8n, an open source automation tool on EU servers, so the integration logic is not locked inside any CRM vendor. If you change CRM in three years, the workflows move with you.
What a CRM project costs with us
We do not sell licences, so there is no margin on the software. You pay for the work.
- Process audit, from EUR 500. We map how customers move through your company, which systems hold what, and which route fits. Credited to the build if you go ahead.
- Fixed price build, from EUR 2,500. A hosted and configured open source CRM with your fields, your pipeline and two or three integrations starts here. A custom CRM or a larger integration project is quoted after the audit, at a fixed price that does not move once we start.
- Management, from EUR 699 per month. EU hosting, backups, updates, monitoring of the integrations and changes as your process changes. Optional, recommended without a technical person in house.
- AI receptionist that logs into the CRM. Starter at EUR 419 per month plus implementation from EUR 990, for a small office with 5 to 8 calls a day, in Greek and English.

Frequently asked questions
Which CRM is best for a small business in Cyprus?
For a team under ten with a standard pipeline, a cloud CRM with an EU data region or a hosted Dolibarr both work. The deciding factor is usually invoicing: if you want quotes, invoices and customers in one system without a per user fee, Dolibarr is hard to beat.
Is HubSpot or Zoho GDPR compliant for Cyprus companies?
The large vendors publish data processing agreements and offer EU hosting on some plans. Compliance depends on your configuration: which region you chose, what you store, how long you keep it and whether you can answer an access or deletion request. The vendor’s certificate does not do that.
How much does CRM integration cost in Cyprus?
With us, a fixed price build starts at EUR 2,500 and covers two or three connections, such as calendar, phone and invoicing. Larger projects are quoted after a process audit from EUR 500, credited to the build. Management starts at EUR 699 per month.
Can a CRM handle Greek and English at the same time?
Yes, if it stores text as UTF-8 and its search handles Greek accents. Dolibarr ships with a Greek interface translation. Test before you commit: create a contact with a Greek name, then search for it with and without the accent.
Can I move from a cloud CRM to an open source or custom CRM later?
Yes. Every serious cloud CRM exports contacts, companies, deals and notes as CSV, and most have an API for the rest. The migration is mostly mapping fields and cleaning duplicates. Attachments and e-mail threads usually need manual work.
If you want a straight answer on which route fits your company, write to us through the contact page. If a cheap cloud plan is all you need, we will say so.
