AI Receptionist for Small Business in Cyprus and Greece: Cost, Setup and What the Law Says (2026)
Dabster Labs · Last updated 27 August 2026
An AI receptionist for a small business in Cyprus or Greece costs from EUR 419 per month, plus implementation from EUR 990. That covers a small office taking 5 to 8 calls a day, 500 minutes, Greek and English, calendar booking, instant team notifications and a monthly review on real calls. Extra minutes are EUR 0.40.
It is built for offices that lose calls: medical and dental practices, physiotherapy centres, accountants, insurance brokers, property agents, and any business where the person who answers the phone is also the person doing the work.
What an AI receptionist actually does
It is not a press 1 menu and not a voicemail. The caller speaks normally. A typical call runs like this:
- The agent answers on the first ring, at any hour, including weekends. Its first sentence says it is an AI assistant, in the caller’s language.
- It works out what the caller wants: a new booking, a change to an appointment, a question about hours or prices, or something that needs a person.
- It answers from a knowledge base you approved line by line: opening hours, address, services, prices, what to bring.
- It books, moves or cancels appointments in your calendar, checking live availability before it offers a slot.
- For anything it cannot resolve it takes a message and sends it to your team instantly, with the caller’s number and a summary.
- It transfers to a person when your rules say so: a caller in pain, an urgent matter, or anyone who asks for a human.
- It logs the call and the outcome in your CRM, so nobody types the same details twice.
It does not improvise prices, medical advice or promises. The full feature list is on the AI voice agents page.
How much does an AI receptionist cost in Cyprus and Greece
We publish three plans. Every plan includes Greek and English, booking into your calendar, instant team notifications and a monthly review of real calls. The implementation fee covers the audit, knowledge base, call flows, wiring and test calls described below.
| Plan | Per month | Implementation | Sized for |
|---|---|---|---|
| Starter | EUR 419 | from EUR 990 | Small office, 5 to 8 calls a day, 500 minutes included, extra minutes EUR 0.40 |
| Growth | EUR 1,179 | from EUR 1,900 | Busy lines with appointments and caller qualification, 1,000 minutes included, extra minutes EUR 0.35, CRM connection |
| Pro | EUR 2,179 | from EUR 4,500 | Clinics and high call volumes, 2,500 minutes included, extra minutes EUR 0.30, weekly review, add-on for medical data |
Current figures are on the pricing page. Against a part time receptionist or an outsourced answering service, we have no verified salary or agency figures for both countries, so the table stays with what we can say honestly.
| Part time receptionist | Outsourced answering service | AI receptionist | |
|---|---|---|---|
| Hours covered | The hours you pay for, usually mornings | Their shift pattern, often longer than yours | Every hour of every day |
| Cost pattern | Salary plus employer contributions, whether the phone rings or not | Per call or per minute, grows with volume | Fixed monthly fee from EUR 419, extra minutes EUR 0.40 |
| Greek and English | Depends on the person you hire | Depends on who is on shift | Both, including Cypriot Greek, on every call |
| Books into your calendar | Yes | Often takes a message for you to call back | Yes, checking live availability |
| Where the data lives | Your office | Wherever the provider operates, check the contract | EU hosting, retention you set |
Setup: what happens in the first two weeks
- Audit call. We listen to how calls come in today: volumes, peak hours, the questions that repeat, and where a person must take over. This is where the plan is chosen.
- Knowledge base and call flows. We write the answers and the flows, you approve every line. The greeting includes the AI disclosure. Anything outside the knowledge base becomes a message to your team, never a guess.
- Calendar and CRM wiring. We connect the calendar you already use and your CRM through n8n workflows, so bookings and call summaries land where your team works.
- Test calls with the team. Your staff call the line with real scenarios and we correct the flows from the transcripts.
- Go live. Your existing number is forwarded to the agent, either every call or only the calls nobody picks up within a few rings.
- Monthly review. We go through real calls together, add the answers the agent was missing and adjust the flows. This is part of the monthly fee.
What the law says
EU AI Act, disclosure. Regulation (EU) 2024/1689 has been in force since 1 August 2024. The transparency duties of Article 50 apply from 2 August 2026: a person must be told they are talking to an AI, unless that is obvious. A Commission proposal from late 2025 to postpone parts of the timeline is only a proposal until adopted. Our agents say they are AI in the first sentence of every call. We wrote a separate guide to Article 50 for chatbots and voice agents.
GDPR, both countries. The caller must be told who processes their data and why. The agent collects only what the booking needs, and we propose a 30 day retention for any transcript. In Cyprus the practical rule is GDPR, plus tell the caller at the start of the call.
Greece, recording. Greek Penal Code article 370A, as amended by law 5002/2022 article 10, makes recording your own phone conversation without the express consent of the other party a felony punishable with imprisonment of up to 10 years. There is no exception for recording your own calls. Law 3471/2006 article 4 paragraph 3 requires the consent of both parties, while the Hellenic DPA (ΑΠΔΠΧ) treats prior information as sufficient; no court has resolved that contradiction.
The DPA has also ruled that “quality of service” and “security of transactions” are not acceptable purposes for recording. The only accepted purpose is proof of the communication, and the announcement must say calls are always recorded, not that they “may be” (decision 65/2010). The fines are real: EUR 30,000 to ΕΚΑΒ, the 166 line (decision 23/2024), and EUR 20,000 to NN Hellas plus EUR 2,000 to a dental call centre for not giving recordings to the data subject under GDPR article 15 (decision 32/2025).
Our default. Every AI receptionist we deliver in Greece runs with recording OFF. It is switched on only when the client has a lawful purpose and the announcement is worded the way the DPA requires. The agent does not need a recording to book, answer and notify.
AI receptionist for medical offices and clinics
Medical and therapy practices are where missed calls cost the most, and where the rules are strictest. The Hellenic DPA explicitly allows recording on the incoming appointment lines of outpatient clinic reception. We still default to off, because an appointment booking does not need it.
Health data is special category data under the GDPR, so the flows are designed so the agent does not ask for it. To book, it needs a name, a phone number, the type of appointment and a time. It does not ask for symptoms or a diagnosis, and if a caller starts describing their condition the flow moves to the booking or to a person.
The proof is live. DROSOS Clinic in Agia Marina, Kos, an osteopathy and physiopathy centre founded by the holistic therapist Stamatis Drosos, is the first centre in Kos with an AI receptionist on its line. In the first three weeks the agent, named Anna, answered all 41 calls. None were missed, and more than half came in outside opening hours. The DROSOS Clinic case study shows the flows and the numbers. See also AI automation for clinics in Cyprus and Greece.
Why businesses choose Dabster Labs
- Greek first, including Cypriot Greek, then English. Built for callers here, not translated from an English product.
- We build it and we run it: implementation, then monthly management with a review of real calls, by the same two engineers.
- Wired into your calendar and CRM through n8n, so the call ends with a booking and a record, not a note to call back.
- AI disclosure in the first sentence of every call, on every plan.
- One provider for the phone line and the automations behind it: reminders, CRM updates, follow up e-mails.
- EU hosting, with a retention period you decide.
- The voice platform is delivered under the Dabster Labs brand on independently certified infrastructure (ISO 27001 and ISO 9001).
- A Cyprus company in Nicosia (DABSTER LABS LTD, HE 435386).
Frequently asked questions
Does it understand Cypriot Greek?
Yes. The agent speaks Greek, including Cypriot Greek, and English. Call the demo line on +357 22 152092 and speak the way your callers do.
What if it cannot answer?
It says so, takes a message and notifies your team instantly, or transfers to a person if your rules say so. At the monthly review we add the missing answer to the knowledge base.
Can it book appointments?
Yes, on every plan. It checks live availability in your calendar, books the slot, confirms it to the caller and notifies your team.
Does it record calls?
In Greece, no, unless you have a lawful purpose and the announcement is worded as the DPA requires. In Cyprus we follow GDPR and tell the caller at the start of the call. In both countries we propose keeping transcripts for 30 days.
How fast can it go live?
Two weeks is the usual path for a small office. The step that varies is the wiring, which depends on the calendar and CRM you use.
Can I try it?
Yes. Call +357 22 152092. The AI answers, in Greek or English, and you can ask it what you would ask a receptionist.
Call the demo line, then contact us with your call volume and the calendar you use, and we will quote your office on real numbers.
