Workflow Automation in Cyprus: What to Automate First, and n8n vs Make vs Zapier for a Small Business
Dabster Labs · Last updated 27 August 2026
Automate the repetitive handoffs between systems first: lead intake into the CRM, quotes, invoice reminders, e-mail sorting and the weekly report. Choose the tool by three questions: where the data must live, how many runs a month you expect, and who will maintain it. For Cyprus and Greek SMEs handling customer data, our default is n8n on EU servers.
Only 9.3% of Cypriot and 8.9% of Greek enterprises with 10 or more employees used AI in 2025, against an EU average of 20% and 42% in Denmark (Dabster Labs, The State of SMB Automation in Cyprus and Greece 2026, compiled from Eurostat 2025). Most businesses we meet do not need a model first. They need the plumbing between the inbox, the CRM and the accounting package, which is workflow automation.
What to automate first in a Cyprus SME
Rank candidates with one rule: high frequency, low judgement, clear data. High frequency means the task happens daily or weekly, so the saving compounds. Low judgement means a new hire could do it from a checklist. Clear data means the inputs already sit in a system, not in someone’s head. A task that passes all three is a safe first build; one that fails a test belongs to a second phase.
In the order we usually recommend:
- Lead intake to the CRM. Every enquiry from the website form, e-mail, WhatsApp or a missed call lands in the CRM as a contact with a source, an owner and a follow up task. Nothing waits in a personal inbox over the weekend.
- Quotes. The deal in the CRM produces the quote, sends it, logs the date and nudges the owner if there is no reply within five working days.
- Invoice reminders. Unpaid invoices trigger polite reminders at fixed intervals, with the accountant copied and the CRM updated. This one pays back in cash flow, not only in hours.
- E-mail sorting. A shared inbox is classified into support, sales, supplier and noise, routed to the right person, with a draft reply prepared for the common cases.
- Reporting. Numbers from the CRM, the accounting package and the ad accounts arrive as one message every Monday morning.
Leave for later anything that needs a human decision on incomplete information, anything you do twice a year, and anything whose source is a spreadsheet only one person understands.
n8n vs Make vs Zapier
All three connect apps and run steps when something happens. The differences that matter for a small business are where the data goes, how the bill grows, and what happens when a flow needs real logic.
| n8n | Make | Zapier | |
|---|---|---|---|
| Hosting and data residency | Self-hosted on a server you choose, including an EU server, or n8n Cloud, run by a company based in Berlin | Cloud service with EU zones offered; check the provider’s data location for your account | Cloud service; check the provider’s data location |
| Pricing model | Self-hosted licence tiers, including a free community edition, plus a cloud plan priced by workflow runs. Self-hosted, you pay for the server, not per step | Per operations, with a monthly quota by plan. Every module that runs counts | Per tasks, with a monthly quota by plan. Every action step counts |
| AI agent support | Native AI agent nodes with tools and memory, any model provider, including models hosted in the EU or on your own server | AI modules and an agents feature inside the cloud product | AI steps and an agents product inside the cloud platform |
| Complexity ceiling | High: JavaScript or Python code nodes, loops, sub-workflows, queues, custom nodes | Medium to high: visual routers, iterators and aggregators, limited custom code | Low to medium: mostly linear flows with paths and a code step; long flows get expensive |
| Who maintains it | You or your agency. Someone must update, back up and monitor the server | The provider runs the platform, you maintain the scenarios | The provider runs the platform, you maintain the zaps. Easiest without technical staff |
Our recommendation is plain. For Cyprus and Greek SMEs handling customer data we default to n8n on EU servers. Make fits simple marketing flows, such as a form to a mailing list to a Slack message, where the data is not sensitive. Zapier makes sense when a team already lives in it and the flows are short. Moving a working setup rarely pays, so we do not push a switch for its own sake.
Why we build on n8n
One instance per client. Your workflows, credentials and logs live on a server dedicated to you, not in a shared account next to other companies.
EU hosting. The server sits in an EU data centre, which keeps the GDPR paperwork short: one processor, one location, one retention rule. AI steps go to providers hosted in the EU or to a model on the same server.
No per task fees at scale. Once a business runs tens of thousands of steps a month, per operation billing becomes a noticeable line item. On a self-hosted instance the cost is the server plus the licence tier you need, and for a typical SME that tier is the free one.
Code when needed. Most steps are drag and drop. When a bank export needs parsing or a legacy system has an odd API, we write the JavaScript inside the same workflow.
AI agent nodes. The e-mail sorter above can read a message, look up the sender in the CRM and draft a reply inside one flow, with every step logged.
We document every workflow and can hand over the whole instance, credentials rotated, to your own IT person or another provider. You are not locked to us.
What it costs
Three lines, published on our pricing page:
- Process audit from EUR 500, credited to the build if you go ahead. We map the handoffs, rank them with the rule above and return a written plan.
- Fixed price build from EUR 2,500. One scoped set of workflows, tested on your real data, with documentation and a handover.
- Management from EUR 699 per month. Monitoring, updates, fixes when an app changes its API, and a monthly review.
Lead intake to the CRM sits at the bottom of that range; a multi system flow with document generation and an AI step sits higher. Worked examples are in how much AI automation costs in Cyprus. Hosting for the n8n server itself is quoted with the build, either on our EU servers or on yours.
Three examples from our work
Disclosure: CX Financia and Centre8 Education are long standing partners of Dabster Labs as well as clients.
CX Financia, Cyprus. The team was typing the same client details into three systems. One intake now feeds all three. Director Xenia Neofytou: «Η ομάδα μου σταμάτησε να γράφει τα ίδια στοιχεία σε τρία συστήματα.» In English: my team stopped typing the same details into three systems.
Centre8 Education, Cyprus. Enquiries are triaged by the automation before a person sees them, with the same team. Founder Christos Christou: «Ο αυτοματισμός κάνει τη διαλογή πριν φτάσει σε εμάς, με την ίδια ομάδα.» In English: the automation does the triage before it reaches us, with the same team.
DROSOS Clinic, Agia Marina, Kos. An osteopathy and physiopathy centre founded by Stamatis Drosos, a holistic therapist, and the first centre in Kos with an AI receptionist on its line. In the first three weeks Anna, the AI receptionist, answered all 41 calls, none missed, more than half outside opening hours. The calendar booking and the team notification behind the voice are ordinary workflow automation. Read the DROSOS Clinic case study.
Frequently asked questions
Is Zapier enough for a small business?
Often yes, for short and low risk flows: a form to a spreadsheet, a new order to a Slack message. It stops being enough when a flow needs loops, retries or more than a handful of steps, and when customer data must stay on EU infrastructure under your control.
Is n8n secure for GDPR?
n8n is a tool, so it depends on how it is run. Self-hosted in an EU data centre, with encrypted credentials, access limited to named users, execution logs pruned on a schedule and backups in the same region, it fits GDPR well because you control every one of those points. We propose 30 day retention for any log that contains personal data.
Can I run n8n myself?
Yes. n8n is source available and installs with Docker on a small virtual server. What most SMEs underestimate is the maintenance: updates, backups, credential rotation and finding out why a run failed at 3 am. If nobody runs a server for you already, a management plan costs less than the first outage.
How long does a first automation take?
A single well scoped flow such as lead intake to the CRM usually goes live two to four weeks after the audit, including testing on real data. The timeline is written into the proposal next to the price. Most of that time goes to access and testing, not building.
Do you serve Greece too?
Yes. We work with clients in Cyprus and Greece, in Greek and English, on the same EU hosting. Voice and chat agents in Greece carry specific rules on call recording and on telling the person they are talking to an AI; see our note on EU AI Act Article 50.
